Not Sure What to Select? Here’s What to Do

If you’re using HubSpot and feel unsure about which option, stage, property, or tool to select, you’re not alone! This guide will help you decide what to do next and where to find help when you're uncertain.

Common Situations Where You Might Feel Unsure

You might be asking:

  • “Which deal stage should I move this to?”
  • “What’s the right lifecycle stage for this contact?”
  • “Which ticket status should I use?”
  • “Which workflow or list should I add this to?”
  • “What does this dropdown option actually mean?”

What to Do When You’re Not Sure

Look for Help Text or Tooltips

Most HubSpot fields have tooltips (hover icons) or descriptions that clarify their use. These often explain:

  • What the field means
  • When it should be used
  • How to choose the right option

Tip: Hover your mouse over the “i” icon next to a field to see help text.

Check Your Internal Usage Guide or Process Doc

Many companies using HubSpot have internal guidelines on how to:

  • Use deal stages
  • Set contact properties
  • Assign lifecycle stages
  • Select tags or sources

Look for documentation on your shared drive, Confluence, Notion, or your internal knowledge base.

Ask Your HubSpot Admin or Team Lead

If the option isn’t clear or you’re afraid of selecting the wrong one:

  • Reach out to your team lead, HubSpot admin, or CRM manager
  • Send a screenshot or describe the situation for quicker help

Sample message:
"Hi, I’m logging a new deal and not sure whether it should be in 'Discovery' or 'Proposal Sent' — can you clarify which stage fits if the client just asked for pricing?"

Use a Placeholder (If Allowed) and Flag It

If your team allows it, you can select a temporary option (e.g., “TBD” or “Other”) and tag the record or add a note to review it later.

Be sure to:

  • Mention your uncertainty in the comments or notes
  • Revisit and update the field once clarified

When in Doubt, Don’t Guess — Ask

Using the wrong option can:

  • Trigger incorrect workflows
  • Skew reporting
  • Confuse other users

It’s always better to ask and get clarity than to guess and risk errors.

Who to Contact

If you're unsure what to select and can't find documentation:

  • Contact your CRM Admin or HubSpot Owner
  • Ask your team lead or manager
  • Use your internal Slack/Teams support channel
