How to Solve: Appointment Time Incorrect Issue in HubSpot

Is your meeting showing the wrong time in HubSpot or on your calendar? Incorrect appointment times can be caused by time zone mismatches, calendar sync delays, or user settings. Follow this guide to identify and resolve the issue.

     Step-by-Step Troubleshooting Guide

Check Your Personal Time Zone Settings in HubSpot

Each user in HubSpot can set their own time zone.

To verify:

  • Go to Settings > General

  • Under "Your Preferences", find Time zone

  • Make sure it reflects your actual location

 If your time zone is incorrect here, all meetings you schedule or receive will be offset.

Check Your Calendar's Time Zone

Your external calendar (Google or Outlook) also uses its own time zone setting.

 To verify:

  • Open your Google Calendar or Outlook Calendar

  • Go to Settings > Time Zone

  • Ensure it matches the time zone set in HubSpot

 If your calendar and HubSpot are in different time zones, appointment times may shift or               display incorrectly.

Confirm Time Zone on the Meeting Link

Meeting links in HubSpot honor the user's time zone by default — but visitors see availability        in their local time.

  • Go to Sales > Meetings

  • Click on your meeting link

  • Under "Availability", double-check the displayed times

  • Visit the public meeting page in a private/incognito browser

Make sure availability is set correctly and that the link is not using outdated or custom time          zone overrides.

Check Contact Time Zone (if using HubSpot Meetings)

 When a contact books a meeting:

  • HubSpot shows availability in their local time based on browser settings

  • The meeting confirmation and invite should automatically adjust for time zone

 Confirm the invite they received includes the correct time in both your and their time                zone.

Resync Calendar and Recheck

Time zone sync can occasionally be thrown off by calendar or browser settings.

To fix:

  • Go to Settings > General > Calendar

  • Disconnect and reconnect your calendar

  • Refresh the meeting link and test booking again

  • Ask the contact to test from an incognito window if issues persist

 This forces HubSpot to re-align with your calendar and time zone preferences.

Clear Browser Cache or Test in Private Window

Browser cookies may save outdated time zone preferences.

  • Clear your browser cache and cookies

  • Try viewing your meeting link in a private/incognito window

  • Make a test booking and check the resulting invite time

This ensures you’re seeing the most accurate display without interference.
