How to Solve: Double Booking Issue in HubSpot Meetings
Are multiple meetings being booked at once through your HubSpot link? This can happen due to calendar or availability setting issues. Follow the steps below to fix it.
Common Symptoms
- Two or more meetings are booked in the same time slot
- HubSpot shows you as available when you're already booked in your calendar
- Meeting links are not blocking out time after a booking
- Conflicts with other calendars (Google/Outlook) are ignored
- Buffer time between meetings isn’t respected
Step-by-Step Troubleshooting Guide
Ensure Your Calendar Is Properly Connected
HubSpot can only check your availability if your calendar is connected.
To verify:

Go to Settings > General > Calendar

Confirm your Google or Outlook calendar is listed and marked as Connected

If not connected:

Click Connect calendar

Follow the prompts to integrate your primary calendar account

Make sure you connect the same calendar where you manage your appointments.
Check Which Calendar HubSpot Is Checking for Availability
Even if you have multiple calendars, HubSpot checks only the connected one for conflicts.

Under "Calendar sync", check which calendar is being referenced

Make sure it's the one you use to manage your availability
If your personal or team events are on a separate calendar, they won’t block off time unless that calendar is connected and included.

- Ensure that all users have connected calendars
- For round-robin, HubSpot checks availability individually per team member
- A time slot can be shown as available for one rep but not another
Tip: For true one-at-a-time booking, use individual meeting links or configure team links carefully.
Avoid Overlapping Meetings from External Systems
If you're using external systems (like Calendula, Zoom, etc.), make sure they’re synced to the same calendar as HubSpot.
HubSpot only sees the availability of the connected calendar — it can’t detect conflicts in calendars it's not connected to.
Refresh Calendar Sync
If your calendar was recently updated or reconnected:
- Disconnect and reconnect the calendar from Settings > General > Calendar
- Wait a few minutes for sync to complete
- Test by booking a slot that should be unavailable
If issues persist, try clearing your browser cache or using an incognito window to test the meeting link.
