How to Fix "Record Not Assigned" or "Wrong Owner" Issues in HubSpot

Seeing a contact, company, deal, or ticket that’s unassigned or assigned to the wrong owner? Here’s how to quickly identify and resolve ownership problems in HubSpot.

What Is a Record Owner in HubSpot?

The record owner (e.g., contact owner, company owner, deal owner) is the HubSpot user responsible for that record. Assigning the correct owner ensures:

  • Proper visibility and access
  • Task ownership and notifications
  • Accurate reporting and workflows

Troubleshooting Steps

Check Current Ownership

How to Check:

  • Open the record (contact, deal, etc.)
  • Look for the "Owner" field in the left sidebar
  • Click the owner name to view or change it (if you have permission)

Assign or Reassign the Record

  • How to Manually Assign:
    • Open the record
    • Click the Owner property
    • Select the correct HubSpot user from the dropdown
    • Click Save
  • To Bulk Assign:
    • Go to Contacts, Companies, or Deals
    • Select multiple records
    • Click Edit > Owner and choose the correct user

Can’t Change Owner? (Permissions Issue)

 Fix:

  • Ask your admin to give you edit access:
    • Go to Settings > Users & Teams
  • Ensure your role includes:
    • CRM access
    • Permission to view and edit all records, not just “Owned only”

You can prevent future assignment issues by using:

Assignment Rules in Forms

  • Set form submissions to assign records based on region, lifecycle stage, or rep availability

  • Go to Automation > Workflows
  • Create a workflow to:
    • Assign owner based on a property (e.g., region, source)
    • Rotate leads between team members

Fix After an Import

 Issue: Records imported with no owner

  Fix:

  • During import, map your spreadsheet’s “Owner” column to the correct HubSpot owner field
  • Re-import if needed, or bulk assign from the list view

Tip: Filter Unassigned Records

 You can quickly find records that are unassigned:

 Example:

  • Go to Contacts (or Deals, etc.)
  • Create a filter:
    • Contact owner is unknown

  • Save the view as “Unassigned Contacts”

        Repeat for other object types to maintain clean ownership.
