Can’t See Contact, Deal, or Company in HubSpot – How to Fix It
If you're unable to view specific contacts, deals, or companies in HubSpot, it’s usually due to one of the following: user permissions, filters, team restrictions, or data visibility settings. Use this guide to troubleshoot and resolve the issue.
Step-by-Step Troubleshooting Guide
Check User Permissions
Problem: Your user role doesn’t have access to certain records.
How to Check:
- Go to Settings > Users & Teams
- Find your user profile
- Click “Actions > View Permissions”
Key Permissions to Check:
- CRM > Contacts / Companies / Deals → View: All, Team only, or Owned only
- If set to Owned only, you can only see records assigned to you
Fix: Ask your HubSpot admin to update your permissions if needed.
Filters or Views Are Hiding Data
Problem: Records exist but don’t appear due to filtered views.
How to Check:
- In Contacts, Companies, or Deals, check the top filter bar
- Look for saved views like “My contacts” or “Recently created deals”
Fix:
- Clear or adjust filters to broaden the search
- Switch to “All records” view
- Use the search bar to look up names, emails, or record IDs
Team-Based Visibility Restrictions
Problem: HubSpot is set up with team partitioning, and you’re not on the same team as the record owner.
How to Check:
- Go to Settings > Users & Teams > Teams
- Check if you and the record owner belong to the same team
Fix: Ask your admin to:
- Add you to the relevant team
- Change the record’s visibility
- Adjust your user’s team-based access settings
You’re Not the Owner of the Record (Limited View Access)
Problem: Your permission is set to view only the records you own.
How to Check:
- Open your user profile in Settings > Users & Teams
- Check CRM object access: Owned only vs. All
Fix:
- Ask for access to View: All records
- Or request to be assigned as the owner of the contact/deal/company you need to view
The Record Was Deleted or Merged
Problem: Record was removed, archived, or merged into another.
Fix:
- Use the Recycle Bin to restore deleted records:

- For merged records:

- Search for the record’s email or domain
- HubSpot automatically redirects to the primary record in a merge
Browser Cache or Loading Issues
Problem: HubSpot page isn’t loading records correctly.
Fix:

- Clear your browser cache and cookies
- Try accessing HubSpot in an Incognito/Private window
- Switch browsers (Chrome recommended)
